Introduction and Acceptance
Welcome to SophraCyber. These Terms of Service (“Terms”) govern your use of our website, coaching, mentoring, and training services. By accessing or using our website or services, you agree to be bound by these Terms. If you do not agree with any part of these Terms, please do not use our website or services. If there are questions or concerns about our services, also consult our Disclaimer and FAQ pages, and in case other clarifications are needed, feel free to reach out to us via our contact form or send us an e-mail at coach@sophracyber.com.
For consumer clients in the EU, these Terms incorporate mandatory pre-contract disclosures required under Dutch Civil Code (BW 6:230m–230v). Where applicable, additional details will be provided in the Coaching and Mentoring Agreement or Training Agreement before you either sign or accept the terms.

SophraCyber provides professional coaching, mentoring and training services to individuals.
Definitions
For the purposes of these Terms:
“Client” refers to any individual or entity who books, purchases, or participates in coaching, mentoring, or training services provided by SophraCyber, and/or enters into a Coaching and Mentoring Agreement or Training Agreement with SophraCyber.
“Services” refers to all coaching, mentoring, training, and related offerings provided by SophraCyber, including online and in-person sessions, workshops, digital content, and any services governed by a Coaching and Mentoring Agreement or Training Agreement.
“Website” refers to www.sophracyber.com and any subdomains or associated online platforms.
“Coaching and Mentoring Agreement” refers to the contract provided to clients outlining the specific terms, conditions, and scope of the coaching and mentoring relationship, which supplements and, where applicable, prevails over these Terms.
“Training Agreement” refers to the contract provided to clients for participation in training classes, workshops, or courses, which supplements and, where applicable, prevails over these Terms.
“Agreement” refers collectively to these Terms of Service and, where applicable, the Coaching and Mentoring Agreement and/or Training Agreement.
Scope of services
SophraCyber provides professional coaching, mentoring, and cyber security training services to individual clients. The specific scope, duration, and objectives of each service will be outlined in the relevant Coaching and Mentoring Agreement or Training Agreement provided to you prior to the start of your engagement.
The Coaching and Mentoring Agreement or Training Agreement may specify additional terms, confidentiality clauses, or service limitations tailored to your needs.
In the event of any conflict between these Terms and the applicable Agreement, the provisions of the Coaching and Mentoring Agreement or Training Agreement shall prevail.
Service Provider Responsibilities
SophraCyber is committed to delivering coaching, mentoring, and training services in accordance with the highest professional and ethical standards, including those set by the International Coaching Federation (ICF) and the International Mentoring & Coaching Council (IMC). As your service provider, we commit to:
Confidentiality: Maintain strict confidentiality regarding all client information, except where disclosure is required by law or with your explicit consent, as outlined in the Coaching and Mentoring Agreement or Training Agreement.
Professional Conduct: Deliver services with integrity, respect, and professionalism, in line with the ICF and IMC Codes of Ethics.
Competence: Only offer services within the boundaries of our qualifications, training, and experience. Refer clients to other professionals (e.g., therapists, legal or financial advisors) when issues fall outside the scope of coaching, mentoring, or training and inform clients when such referrals are recommended.
Transparency: Clearly communicate the nature, scope, and limitations of our services, including distinctions between coaching, mentoring, training, and therapy.
Client-Centered Approach: Support clients in achieving their own goals and respect their autonomy in decision-making.
Continuous Professional Development: Engage in ongoing education and supervision to maintain and enhance professional competence.
Ethical Compliance: Adhere to all applicable laws, regulations, and ethical guidelines, including those of the ICF and IMC.
Conflict of Interest: Disclose any potential conflicts of interest and manage them in a way that protects client interests.
User Responsibilities
By using our website or services, you agree to:
Provide accurate, current, and complete information as required for booking and participating in services.
Review and, where applicable, sign the Coaching and Mentoring Agreement before commencing any coaching and/or mentoring relationship. Review the Training-related Terms of service conditions before signing-up for a training course.
Comply with all instructions, guidelines, and codes of conduct provided by SophraCyber during the course of the services.
Respect the confidentiality and privacy of other clients and participants, as well as any proprietary materials shared during sessions or trainings.
Use the website and services only for lawful purposes and not engage in any activity that could harm SophraCyber, its clients, or its reputation.
Bookings, Payments and Cancellations
Discovery Session:
Each new client is entitled to one free 30-minute discovery session. This session is used to discuss your needs, answer questions, and determine if our services are a good fit.
A coaching package may only be purchased after completing a discovery session.
For training classes, there is no requirement to complete a discovery session.
Agreement and Onboarding:
After the discovery session, if you wish to proceed, SophraCyber will prepare and send you a Coaching and Mentoring Agreement by email.
For training classes, clients sign up via the website. All training-relevant information, conditions and terms of service are provided in advance of the registration. Upon acceptance, SophraCyber will provide additional information and send the Training Agreement by email.
Before signing any agreement, you will receive all mandatory pre-contract information, including service description, total price (incl. taxes), withdrawal rights (if applicable), and complaint handling procedures.
You must review the Coaching and Mentoring or Training agreement and accept it by signing electronically via BoldSign. Electronic signatures are legally binding under EU eIDAS and Dutch law.
Payment:
Once you accept the agreement, you will receive an invoice for the full package or training price, payable within 7 days of receipt.
Payment is made securely via the Stripe link provided in the invoice email.
Your booking is only confirmed after full payment is received.
Scheduling Sessions:
After payment is received, you will use a personalized Calendly link to schedule your coaching sessions.
All coaching sessions must be scheduled and used within the validity period specified in your agreement.
For training classes, SophraCyber provides the dates, times, and attendance information. Clients do not choose the schedule. The training calendar is covered in the Training Agreement. Any changes to the schedule, except in cases of force majeure, will be announced in advance by SophraCyber.
Rescheduling and Cancellations:
You may reschedule a coaching session up to 24 hours before the scheduled start time using your personalized Calendly link.
Each coaching session can be rescheduled a maximum of two times.
If you do not attend a scheduled coaching session (“no-show”), that session is considered used and is not eligible for rescheduling.
The cancellation policy for trainings is mentioned below in the refunds section. This policy is subject to any statutory withdrawal right for consumers. Where the training qualifies as a fixed‑date event for which the withdrawal right does not apply, this will be stated before purchase.
If you consistently miss sessions or do not adhere to the Coaching and Mentoring Agreement or Training Agreement, SophraCyber reserves the right to terminate the agreement in the interest of your progress and the integrity of the coaching/training process.
Refunds:
Coaching packages are non-refundable once purchased, except where required by law.
No refunds are given for coaching sessions that have already taken place, were canceled less than 24 hours before the scheduled time, or were missed (“no-show”).
For training classes, special conditions apply:
For trainings canceled 30 days before the training start date, a full refund may be provided.
For trainings canceled 15 days before the training start date, a 50% refund will be provided.
For trainings canceled 7 days or less before the training start date, no refund will be provided.
If you are a consumer and entitled to a 14-day withdrawal right, details and the model withdrawal form will be provided before signing your agreement. If you request immediate start within the cooling-off period and acknowledge loss of the right after full performance, no refund will apply once services are delivered.
Communication:
All official communication regarding agreements, invoices, and scheduling will be conducted via email.
Limitation of Liability
SophraCyber will make every reasonable effort to provide high-quality coaching, mentoring, and training services as described in the relevant agreements and on the website.
However, to the fullest extent permitted by law, SophraCyber shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, revenue, data, or goodwill arising from or related to your use of the website or services.
SophraCyber’s total liability for any claim arising out of or relating to these Terms, the Coaching and Mentoring Agreement, or the Training Agreement shall not exceed the amount paid by you for the relevant package or training.
Coaching, mentoring, and training are not substitutes for therapy, counseling, medical, legal, or financial advice. You are responsible for your own decisions and actions resulting from participation in our services.
Nothing in these Terms shall exclude or limit liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded or limited under Dutch law.
Nothing in these Terms affects your statutory rights as a consumer under Dutch law.
Governing Law and Jurisdiction
These Terms, as well as any Coaching and Mentoring Agreement or Training Agreement, shall be governed by and construed in accordance with the laws of the Netherlands.
Any disputes arising out of or in connection with these Terms, the Coaching and Mentoring Agreement, or the Training Agreement shall be subject to the exclusive jurisdiction of the competent courts in Amsterdam, the Netherlands.
Intellectual Property
All content, materials, resources, and documentation provided by SophraCyber (including but not limited to: training materials, session handouts, website content, logos, and branding) are the intellectual property of SophraCyber unless otherwise stated.
Clients are granted a limited, non-exclusive, non-transferable license to use materials provided for personal, non-commercial purposes only, as part of their coaching, mentoring, or training engagement.
You may not reproduce, distribute, modify, publicly display, or create derivative works from any SophraCyber materials without prior written consent.
Any unauthorized use of SophraCyber intellectual property may result in termination of your agreement and/or legal action.
Changes to Terms
SophraCyber reserves the right to update or modify these Terms of Service at any time to reflect changes in our services, business practices, or legal requirements.
If changes are required by law or regulatory guidance, we will update these Terms and notify you where legally required. Material changes will be communicated via our website or by email, where appropriate.
Your continued use of our website or services after changes to the Terms constitutes your acceptance of the updated Terms.
We encourage you to review these Terms periodically to stay informed about your rights and obligations.
